This Privacy Policy explains how Aces Media, LLC ("Aces Media," "we," "us") handles information collected through this website, including the Book a Demo inquiry form. It describes what the site actually does, in plain language.

By using this website or submitting an inquiry, you acknowledge the practices described here.

Scope

This policy covers the Aces Media marketing website, the demo request form, transactional email sent in response to an inquiry, any scheduling handoff we offer after a submission, and the analytics and security measures that operate the site.

It does not cover the systems we design or operate for clients under a separate agreement. Those are governed by the applicable client contract, not this policy.

Information you provide

When you request a demo, we collect the information you enter in the form:

  • First and last name
  • Work email address
  • Company name and company website
  • Your role and team size
  • Industry or company type (optional)
  • The systems involved in the workflow (optional)
  • A description of the workflow, the desired outcome, and any additional context
  • Budget range and timeline
  • Phone number and preferred contact method (optional)
  • Your consent choice and the version of this policy in effect at submission

You choose what to include in the free-text fields. Please keep them limited to describing the workflow.

Information collected automatically

When you use the site, some information is processed automatically to operate, secure, and measure it:

  • The page you landed on, the referring site, and campaign parameters (UTM values) if present in the link you followed
  • Which button or location led you to the form, and which step of the form you reached
  • General browser and device category
  • Approximate location that hosting and network infrastructure may derive from your connection
  • Security and rate-limit signals, including a one-way salted hash of your network address and browser string used to detect abuse; the raw address is not stored in your inquiry record

Our hosting and security infrastructure necessarily processes network addresses in transit to deliver and protect the site. We do not retain your raw network address in your lead record; anti-abuse identifiers are stored only as salted one-way hashes.

Analytics, where enabled, receive only anonymous funnel events such as which step of the form was reached. The contents of the form, including your name, email, and workflow description, are never sent to analytics.

How we use information

  • To review your inquiry and evaluate whether there is a strong first implementation
  • To reply to you and schedule a conversation
  • To operate, maintain, and secure the website
  • To prevent spam, abuse, and automated submissions
  • To measure marketing performance in aggregate and improve the site
  • To maintain ordinary business records and comply with applicable law

We do not sell your information. We do not add you to a marketing list because you submitted an inquiry, and you will not receive a newsletter as a result of asking us a question.

Service providers

We use a small number of third-party providers that process information on our behalf, by category:

  • Website hosting and content delivery
  • Database storage for inquiry records
  • Transactional email delivery for the internal notification and your confirmation
  • Optional scheduling, if you choose to book a time
  • Optional privacy-conscious analytics
  • Optional anti-bot verification

These providers are permitted to use the information only to provide their service to us. We add providers only as needed and update this policy when a category materially changes.

How information is shared

We share information with the service providers described above so they can operate the site and respond to you. We may also disclose information when required by law, to protect our rights or the safety of others, or in connection with a business transfer such as a merger or acquisition.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

Where information is processed

Our providers may process information in the United States and other countries. Where information is transferred across borders, it remains subject to this policy and to the provider's own commitments.

Retention

We keep inquiry records for as long as needed to follow up, evaluate fit, and maintain ordinary business records. Security and rate-limit signals are kept only as long as useful to prevent abuse. Test records are removed. We delete or anonymize information when it is no longer needed, unless a longer period is required by law or a contract.

Your choices and rights

Depending on where you live, you may have rights to access, correct, or delete the information you submitted, or to object to or limit certain processing. To make a request, reply to your confirmation email or write to us at the address below. We will respond consistent with applicable law and may need to verify your identity first.

You can control cookies and similar technologies through your browser settings. Because the site does not rely on non-essential tracking cookies by default, most functionality remains available with cookies disabled.

Please do not send sensitive information

The form is for describing workflows, not for transmitting secrets. Please do not submit:

  • Passwords or API keys
  • Financial account details
  • Government identifiers
  • Health information
  • Confidential customer records
  • Any other highly sensitive data

If a field asks about your systems, the names of the tools are enough.

Children

This site is intended for business and professional use and is not directed to children. We do not knowingly collect information from children under 16.

Security

We take reasonable measures to protect the information we hold, including server-side handling of credentials and access controls on inquiry records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. See our Security page for how we approach this.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date below and, where appropriate, the policy version. Continued use of the site after an update means you accept the revised policy.
